Privacy Policy

Last updated: April 1, 2026  ·  Effective: April 1, 2026

The short version: Your documents are analyzed and gone. We never store, share, or keep your invoices or settlements beyond the active session. We collect only what we need to run Zena and we never sell your data.

1. Who We Are

Zena ("Zena," "we," "us," or "our") is an AI-powered audit platform built for Amazon AFP and DSP carriers. This Privacy Policy explains how we collect, use, and protect your information when you use Zena at askzena.ai.

2. Information We Collect

Account Information

When you create an account, we collect your name, business email address, company or station name, and encrypted password. We also collect your billing information (processed securely through our payment provider — we never store raw card numbers).

Documents You Upload

When you upload a maintenance invoice, settlement Excel, or route history CSV, that document is sent to our AI analysis engine, processed, and the results are returned to you. We do not store your uploaded documents. They are not retained on our servers after your session ends and are never shared with any third party.

Usage Data

We collect standard usage information such as pages visited, features used, and audit counts. This helps us improve Zena and is never sold or shared with advertisers.

Payment Information

Payments are processed through a PCI-compliant third-party payment processor. We store only the last four digits of your card, card type, and expiration date for display purposes.

3. How We Use Your Information

4. Document Processing

Your uploaded documents are processed using AI technology to perform audit analysis. Documents are transmitted over encrypted connections, processed in-session, and not retained afterward. Audit results and findings are stored in your account history so you can reference them later — the source documents are not.

5. Data Sharing

We do not sell, rent, or trade your personal information. We may share limited data with:

6. Data Security

We use industry-standard security measures including 256-bit SSL encryption for data in transit, encrypted storage for account data, and access controls limiting who can view your information. No system is 100% secure, but we take reasonable precautions to protect your data.

7. Data Retention

We retain your account information for as long as your account is active. Audit history (findings and reports, not source documents) is retained to give you ongoing access. You may request deletion of your account and all associated data at any time by contacting privacy@askzena.ai.

8. Your Rights

Depending on your location, you may have the right to access, correct, or delete your personal information. To make any such request, contact us at privacy@askzena.ai and we will respond within 30 days.

9. Cookies

Zena uses essential cookies to keep you logged in and maintain your session. We do not use advertising or tracking cookies. You can disable cookies in your browser settings, but some features may not work correctly.

10. Children's Privacy

Zena is not directed at children under 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, contact us immediately.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the platform. Continued use of Zena after changes take effect constitutes acceptance of the updated policy.
