The short version: Your documents are analyzed and gone. We never store your invoices, settlements, or any uploaded files beyond the active session. We do automatically collect anonymized audit findings (not raw files) to improve Zena's accuracy — details in Section 2. We never sell your data.
Zena ("Zena," "we," "us," or "our") is an AI-powered audit platform built for Amazon AFP and DSP carriers. This Privacy Policy explains how we collect, use, and protect your information when you use Zena at askzena.ai.
When you create an account, we collect your name, business email address, company or station name, and encrypted password. We also collect your billing information (processed securely through our payment provider — we never store raw card numbers).
When you upload a maintenance invoice, settlement Excel, or route history CSV, that document is sent to our AI analysis engine, processed, and the results are returned to you. We do not store your uploaded documents. They are not retained on our servers after your session ends and are never shared with any third party.
To improve platform accuracy and regional benchmarks, Zena automatically collects structured, anonymized audit outcome data each time you run an audit or interact with AskZena. This data includes:
This data is linked to your account for personalized benchmarks and used exclusively to improve Zena's accuracy. It is never sold, shared with third parties, or used for advertising.
We collect standard usage information such as pages visited, features used, and audit counts. This helps us improve Zena and is never sold or shared with advertisers.
Payments are processed through a PCI-compliant third-party payment processor. We store only the last four digits of your card, card type, and expiration date for display purposes.
Your uploaded documents are processed using AI technology to perform audit analysis. Documents are transmitted over encrypted connections, processed in-session, and not retained afterward. The source documents themselves (PDF invoices, Excel settlements, CSV route histories, images) are never stored on Zena's servers — they exist only in your browser session during processing and are discarded immediately after analysis completes.
What is retained from each audit is structured outcome data — numerical findings, flags, and identified patterns — as described in Section 2. Audit results and reports are stored in your account history so you can reference them later. The underlying documents that produced those results are not.
We do not sell, rent, or trade your personal information or audit outcome data. We may share limited data with:
We use industry-standard security measures including 256-bit SSL encryption for data in transit, encrypted storage for account data, and access controls limiting who can view your information. No system is 100% secure, but we take reasonable precautions to protect your data.
We retain your account information for as long as your account is active. Audit history (findings, reports, and anonymized outcome data) is retained to give you ongoing access and improve platform accuracy. Source documents you upload are never retained. You may request deletion of your account and all associated data — including audit outcome data — at any time by contacting support@askzena.ai.
Depending on your location, you may have the right to access, correct, or delete your personal information. To make any such request, contact us at support@askzena.ai and we will respond within 30 days.
Zena uses essential cookies to keep you logged in and maintain your session. We do not use advertising or tracking cookies. You can disable cookies in your browser settings, but some features may not work correctly.
Zena is not directed at children under 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, contact us immediately.
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the platform. Continued use of Zena after changes take effect constitutes acceptance of the updated policy.
